TERMS & CONDITIONS

The Small Print

We like to keep things straightforward. These terms set out how we work together and what you can expect from us — and what we need from you.

1. What we do
We provide independent stocktaking and related analysis for hospitality businesses.
This includes on-site counts, reporting, and practical insight based on the information available at the time.

2. What we need from you

To carry out an accurate and efficient stock audit, we ask that:

  • Access to all relevant areas is available at the agreed time

  • Stock is organised and ready to count as far as reasonably possible

  • Purchase invoices, delivery notes, and EPOS/till data are available

  • A member of your team is available if queries arise during the visit

Delays or missing information can affect both timing and accuracy.

3. Our reports
Our reports are based on the data available and the stock position at the time of the audit.
They are designed to highlight trends, variances, and opportunities for improvement.

We’re always happy to talk through the results — that’s where the real value often sits.

4. Fees and payment
Our fees will be agreed in advance or confirmed as part of our ongoing arrangement.

Payment terms are typically 30 days from invoice date, unless otherwise agreed.

We appreciate prompt payment — it helps us keep everything running smoothly.

5. Cancellations and changes
We understand that things change.

If you need to rearrange a visit, we simply ask for as much notice as possible.
Where short notice cancellations occur, we reserve the right to charge a reasonable fee to cover time and travel already committed.

6. Independence
We are fully independent and do not receive commissions or incentives from suppliers.
Our role is to provide an objective view of your stock and margins.

7. Liability
While we take great care in our work, our reports rely on the accuracy and completeness of the information provided.

Our liability is limited to the value of the fees charged for the work in question.

8. Confidentiality
All information provided to us is treated in confidence and used solely for the purpose of delivering our services.

9. Working together
Most of our clients work with us regularly over many years.
If anything isn’t quite right, we’d always rather have a quick conversation and put it right.

Questions?
If anything here is unclear, just ask — we believe good working relationships start with straightforward conversations.

By engaging Maynards Stock Auditors Ltd, you agree to these terms.
